Contracts Administrator
Location Aktau or Astana, 5/2
Job Responsibilities:
Drafting and coordinating contracts that carry legal obligations for both parties.
Defining contract terms, including negotiations, formatting, pricing, payment procedures, schedule, deadlines, suspension, resumption, and termination conditions.
Maintaining records and controlling contract documentation and reporting regarding the content, amendments, and implementation progress of concluded contracts.
Analyzing contracts and providing legal consultation when necessary.
Coordinating with parties and internal departments to ensure compliance with contract timelines and requirements.
Drafting and revising contracts, negotiating legal agreements with clients or suppliers, and conducting research on relevant industry-related topics.
Preparing document packages for tenders, including technical specifications, tender applications, and pricing proposals.
Monitoring and advising on compliance with contractual obligations, including making amendments to existing contracts.
Planning and documenting the process for contract closure and conducting final payments.
Developing document templates and procedures for amending, monitoring, and closing active contracts.
Creating sample documents for contract modifications, and approving procedures for reviewing, coordinating, and implementing changes to contract terms, pricing, schedules, and termination conditions.
Creating document templates for contract closure and final settlements between parties, and approving the procedure for processing and closing completed contracts.
Making amendments to active contracts, documenting execution progress, recording regular meeting minutes, and officially closing contracts.
Ensuring the completeness of incoming and outgoing contract documentation.
Monitoring the timely and regular receipt of updates on contract progress and notifying relevant departments according to approved workflows.
Organizing and conducting regular meetings with Contractors/Clients regarding contract progress, documenting and coordinating final meeting documents.
Processing contract closure according to established procedures.
Monitoring the validity of warranties, licenses, and obligations required under contracts, and ensuring timely notifications to contractors about renewals if expiration occurs before contract completion.
Inputting all current contract information—execution progress, meetings, related documents, warranty/license/obligation timelines—into a computerized database to automate tracking, control, and reporting.
Preparing and collecting supporting documents for monthly invoice issuance to clients, and ensuring timely billing.
Compiling and submitting reports to management on the status of issued invoices.
Must Know:
Legislative acts governing the organization’s production, economic, and financial activities;
Regulatory and methodological documents related to administrative operations and legal support;
Instructions, rules, and recommendations for office operations, legal consulting, and administrative procedures;
Fundamentals of labor and civil law, legal precedents from courts and labor inspection authorities;
Methods of systematizing, recording, and maintaining legal documentation;
Assigned tasks, their scope, and solutions to these tasks;
Software tools used for processing documented information, legal reference (and search) systems;
Computer technology, communication, and networking tools;
Occupational health and safety rules and regulations.
Qualification Requirements:
Higher education and work experience with contracts (at least 2 years for those with a Master’s degree, and at least 5 years for Bachelor’s or Specialist degrees) in project implementation within material production and project management fields.
English language knowledge is a must
